Located in a beautifully refurbished heritage building in Melbourne’s CBD, our Melbourne team are passionate about delivering great projects, building solid relationships with our clients, and, importantly, doing this all while fuelled by good coffee. Originally formed in 1997 to deliver arguably one of Melbourne’s largest master planning projects, NewQuay, we continue to be involved in the design and delivery of key design projects of significance across Victoria.
Role overview:
Plus Studio is looking for a Receptionist to join our team in Melbourne to manage the reception desk and provide support to the wider team. We value proactivity with dealing with day-to-day tasks, and the ability to work independently. We are happy to provide the training you need, so long as you are enthusiastic to learn.
Key Responsibilities:
• General reception duties including meet and greet clients or visitors, announce clients as necessary and assist clients in finding their way around the office
• Answering and managing incoming phone enquiries and transferring as necessary
• Manage meeting room bookings ensuring rooms are ready and available for meetings in a neat and tidy state
• Host duties including making tea & coffee, catering organization
• Setting up of meeting rooms including troubleshooting any basic IT issues
• General office and administrative support to office staff including inductions, typing, correspondence and photocopying/scanning
• Processing incoming and outgoing emails to general inbox ensuring emails are responded to in a timely manner or re-directed to appropriate person in charge
• Coordination and distribution of work-related mail, receive & sign for courier deliveries and packages, organise courier delivery pick-ups
• Filing of correspondence, assist in maintenance of office databases and Outlook
• Studio facilities upkeep and maintain tidiness of boardroom, meeting rooms, reception area, kitchen area, storeroom, staff break-out area, and materials library
Requirements:
• Professional manner with excellent written English and oral communication articulacy
• Proven ability to maintain confidentiality and to always apply discretion and tact
• Well-developed time management skills with organisational skills of a high order
• Demonstrated ability to prioritise tasks and proven ability to meet deadlines
• Able to manage and flexibly deal with day-to-day tasks by having in place improved processes and procedures
• Demonstrated ability to work under pressure and juggle competing demands simultaneously
• Proven ability to use own judgement to effectively manage workloads and prioritise tasks
• Experience in building trusted professional relationships and strong networks
• Competency in using Microsoft Office Suite, Microsoft Outlook, Adobe Acrobat
